Quick answer: Open Google Maps on your phone, tap your profile picture, choose your business profile (or tap "Business" at the bottom if shown), go to Reviews, and tap Reply under any review. Most owners are busy at the counter, not at a computer. Replying from your phone takes less than a minute once you know where to tap.
Method 1: Google Maps app
- Open Google Maps and make sure you're signed in with the account that manages your business.
- Tap your profile picture (top right) and select your business profile, or tap the Business tab if your app shows one.
- Tap Reviews (sometimes under "Customers" or the reviews count).
- Find the review and tap Reply.
- Write your reply and tap Post or Reply.
The old standalone Business Profile app was discontinued; Maps and Search are now the main ways to manage on mobile (app discontinued).
Method 2: Google app or browser search
- Open the Google app or Chrome.
- Search your exact business name while signed in.
- Your management panel appears at the top. Tap Reviews or Read reviews.
- Tap Reply under a review.
Turn on review notifications
Get an alert for every new review:
- In Google Maps: profile picture → Settings → Notifications → enable business notifications for reviews.
- In your Business Profile settings, turn on email notifications for "Customer reviews" (notification settings).
Replying within a day shows customers you care (how fast to reply).
Use voice typing
Tap the microphone on your keyboard and speak your reply. It's faster and works in Hindi, Gujarati, Marathi, Tamil and other languages. Read it once before posting, since voice typing can mishear names.
Reply in the reviewer's language
If a customer writes in Hindi or Gujarati, reply in the same language where you can (Hindi review replies, Gujarati replies, regional-language reviews).
Quick reply examples you can adapt
- 5 stars: "Thank you, Priya! So glad you loved the red velvet cake. See you soon!" (5-star reply examples)
- 4 stars with a small issue: "Thanks, Rahul! Sorry about the wait on Saturday — we've added a counter for weekends."
- 1 star: "We're sorry about your experience. Please call us at [number] so we can fix this." (how to reply)
Save a few as notes on your phone to copy and personalise. Don't paste the same reply everywhere (reply mistakes).
Edit or delete a reply
Find the review, tap the three dots next to your reply, and choose Edit or Delete. Edit old defensive replies to calmer ones; future customers will read the better version.
Let staff reply safely
Add a trusted staff member as a Manager so they can reply without owning the profile (add manager or owner). Give them a simple style guide: polite, short, no private details, call the owner for difficult cases.
Reply not showing?
Replies can take a little time to appear publicly or may be held if they contain links, phone numbers in some formats, or flagged words. Check again later from another account (review reply not showing).
A 5-minute daily habit
Each evening, open Reviews, reply to anything new, and note any repeated complaints. Five minutes a day keeps your profile active and your reputation visible (weekly routine).
Using AI to draft replies
AI tools can suggest replies, but edit them to sound like you and mention specifics (AI review replies).
Example: a busy kirana owner
A kirana owner had 80 unanswered reviews because he thought replies needed a computer. After learning the Maps steps and using voice typing in Hindi, he replied to all of them in two evenings and now replies daily.
Example: a salon manager
A salon added its manager as a profile manager. She replies from her phone between appointments using saved templates she personalises, and the salon's reply rate went from 10% to almost 100%.

Common phone problems and fixes
- "I can't see the Reply button." You're signed in with the wrong Google account. Switch accounts in Maps (tap your profile picture) to the one that manages the business (find which account owns your profile).
- "My business doesn't appear in my profile menu." Your role may have been removed, or the profile is under another account. Ask the owner to add you as a manager.
- "The review isn't there yet." New reviews can take a little time to appear in the management view (how long reviews take to show).
- "Maps keeps crashing." Update the app or use the Google app or Chrome search method instead.
