Quick answer

Reply to every review within 24 hours. For positive reviews, thank the person by first name and mention what they liked. For negative reviews, apologise without arguing, acknowledge the specific problem, and invite them to contact you to fix it. Reply in the same language the customer used, keep it to 2–4 sentences, never share private details, and never offer gifts in exchange for changing a review.

Quick answer: Reply to every review within 24 hours.

Your replies are public. Future customers read how you treat people — especially how you handle complaints. A calm, kind reply to a 2★ review can win more trust than ten 5★ reviews.

Why replying matters

  • Shows the business is active and cares.
  • Gives you a chance to correct misunderstandings publicly.
  • Turns unhappy customers into returning ones.
  • AI search features summarise reviews and responses when recommending businesses.

The 5 rules of a great reply

  1. Be fast — within 24 hours.
  2. Be personal — use the reviewer's first name and mention their specific point.
  3. Match their language — Hindi review → Hindi reply; Hinglish → Hinglish.
  4. Be short — 2–4 sentences.
  5. Stay professional — no arguing, no blaming, no private details about the customer.

Replies to positive reviews (4–5★)

English

"Thank you so much, Priya! We're really glad you loved our kaju katli — it's made fresh every morning. See you again soon at Vijay Nagar."

Hindi

"बहुत-बहुत धन्यवाद राहुल जी! आपको हमारी जलेबी पसंद आई, यह जानकर बहुत खुशी हुई। जल्द फिर मिलते हैं।"

Hinglish

"Thank you Aman ji! Aapko hamari service pasand aayi, bahut khushi hui. Agli baar bhi zaroor aaiye."

Avoid copy-paste "Thanks for the review!" on every reply — personal replies read as genuine.

Replies to average reviews (3★)

Thank them, acknowledge what fell short, and show what you are doing about it:

"Thanks for your honest feedback, Neha. We're happy you liked the food, and sorry the wait was long on Sunday. We've added staff for weekend evenings — we hope to serve you better next time."

Replies to negative reviews (1–2★)

Use the A-A-I method: Apologise, Acknowledge, Invite.

"We're really sorry, Rohit. Waiting 20 minutes and rude behaviour is not the experience we want for anyone. Please call us on 98765 43210 so we can make this right."

Hindi

"रोहित जी, हमें बहुत खेद है कि आपको इंतज़ार करना पड़ा। यह हमारे स्तर की सेवा नहीं है। कृपया 98765 43210 पर कॉल करें, हम ज़रूर सुधार करेंगे।"

Never:

  • Argue or call the customer a liar in public.
  • Reveal medical, billing or personal details (especially clinics).
  • Offer a refund or gift in exchange for deleting or editing the review.

Reviews with only stars and no text

A short thank-you is enough:

"Thank you for the 5 stars, Suresh ji! We look forward to serving you again."

What about fake or abusive reviews?

Reply calmly once (e.g. "We couldn't find a record of your visit — please contact us so we can help"), then report the review through your profile if it violates Google's policies. Details in How to handle negative and fake reviews.

Can AI write review replies?

Yes — as long as replies are accurate, personal and approved by you. Chamko's AI writes each reply in the reviewer's language, mentions what they actually said, never invents facts, and offers a phone call on negative reviews. On the Pro plan it replies automatically to new reviews once Google is connected.

Frequently asked questions

Should I reply to old reviews?

Yes. Replying to unanswered older reviews still shows care to future customers. Start with the most recent and the negative ones.

Does replying to reviews improve ranking?

Replies mainly improve trust and conversions. Many experts believe active review management also supports prominence, but the strongest review factors are quantity, recency and rating.

Can I delete a bad review?

No. Only Google can remove reviews that violate its policies. You can report a review, but a genuine negative review will stay — so reply well.

How long should a reply be?

Two to four sentences is ideal. Long defensive replies look worse than short, kind ones.

Should I include keywords in my replies?

Write naturally. Mentioning the product or area once when it fits is fine; stuffing keywords reads as spam to customers.
