Quick answer
Answer within three rings with your business name, ask what the customer needs, give a clear answer (price range, availability, timing), and end with a specific next step — a booking, a visit time or a WhatsApp message with details and your location. Call back every missed call within 15 minutes. A great call turns a Google Maps search into a customer; a bad one sends them to the next listing.

Calls are the most valuable action on your Google Business Profile — the customer has already chosen to contact you. Yet many calls are lost to slow answers, rude tone, vague prices or no follow-up. These scripts help you and your staff win more of them.
The 5-step call structure
- Greet: "Namaste, [Business Name], [your name] speaking. How can I help you?"
- Understand: "Sure — which [service/product] do you need? For which area/day?"
- Answer clearly: price range, availability, what's included.
- Next step: "Shall I book you for 5 pm?" / "I'll send our location on WhatsApp."
- Close warmly: "Thank you for calling. See you at 5!"
Scripts for common situations
"What's the price?"
"It starts at ₹[X] for [basic version]. Most customers choose [package] at ₹[Y], which includes [benefit]. I can share the full price list on WhatsApp — which number should I send it to?"
Never just say a number and stop; explain value and move to a next step.
"Are you open now?"
"Yes, we're open till [time] today. We're near [landmark] — I'll send the Google Maps location on WhatsApp so you can come straight here."
Booking an appointment
"We have slots at 11 am and 4 pm tomorrow. Which suits you? … Great, I've booked 4 pm for [name]. You'll get a confirmation on WhatsApp."
Directions
"We're on [road], opposite [landmark]. Search '[Business Name]' on Google Maps, or I'll WhatsApp you the location right now."
Send a directions link — it saves time.
The customer is comparing prices
"I understand. Our price includes [genuine parts / warranty / home visit / quality ingredients]. Many customers who came after comparing told us the quality was worth it — you can read our Google reviews too."
Complaint on the phone
"I'm really sorry about this. Let me understand exactly what happened … Here's what I'll do: [solution] by [time]. Can I call you back at this number?"

Hindi scripts
Missed calls = missed customers
- Call back within 15 minutes. After that, most callers have already contacted a competitor.
- Use a missed-call message on WhatsApp Business: "Sorry we missed your call! How can we help?"
- Keep the phone with someone during busy hours, or add a second number on your Google profile.
- Check Google Performance for call counts; if calls are high but sales low, your call handling needs work. See get more calls.
Phone etiquette checklist for staff
- Answer within 3 rings, with the business name
- Smile while talking (it changes your tone)
- Use the caller's name
- Never say "I don't know" — say "Let me check and call you back in 10 minutes"
- Note name, number and need in the customer sheet
- End every call with a clear next step
- Send a WhatsApp confirmation after bookings
Turning calls into reviews
After the customer visits or the job is done, a short WhatsApp message with your review link completes the cycle: call → customer → review → more calls. Use the review request message generator.
Script: when the owner is busy
"Namaste, thank you for calling [Business]. I'm with a customer right now — may I take your name and call you back in 10 minutes?" Then actually call back within 10 minutes. A promised callback that happens builds more trust than an immediate rushed answer.
Script: price shopper
"For [service], our price starts at ₹___. That includes ___. Most customers choose ___ because ___. Would you like me to book a slot for you?" Always end with a question that moves toward booking.
Script: missed-call follow-up on WhatsApp
"Hi, this is [Name] from [Business]. Sorry we missed your call! How can we help you today?" Send it within 15 minutes of every missed call — use WhatsApp Business quick replies so it takes one tap.
Train staff in 20 minutes a week
- Role-play one script per week at opening time.
- Listen to how calls are answered and give one improvement, not ten.
- Keep a printed card with the greeting, pricing lines and booking questions next to the phone.
Measure call quality
Google shows how many people called from your profile in Performance insights. Compare that with bookings in your register. If calls are high but bookings low, the scripts and answering speed are the problem — not your ranking.
Frequently asked questions
Should I share prices on the phone?
Yes — at least a range. Refusing to share prices makes customers suspicious.
What if I'm too busy to answer?
Assign one person to calls at peak times, or call back quickly with a missed-call routine.
Do calls affect Google ranking?
Google hasn't said calls rank you higher, but they're the clearest sign your profile is working. More calls usually mean more customers and more reviews.
Can I record calls?
If you do, inform callers ("this call may be recorded for quality") and follow applicable laws.
