Manager or Staff Can't Edit Your Google Business Profile? Fix Roles, Invitations and Access Issues

You added a staff member, partner or agency to your Google Business Profile, but they can't see it, can't reply to reviews, can't change hours or get "You don't have permission". Learn the difference between primary owner, owner and manager permissions, how invitations work, common causes (wrong Gmail, pending invitation, profile unverified, suspended, edits under review), and how to fix access safely.

Quick answer

First check that the person accepted the invitation using the same Google account you invited. Then confirm their role: managers can edit most information, post, add photos and reply to reviews, but can't manage users or delete the profile. If they still can't edit, the profile may be unverified, suspended or have edits under review, or the field may be locked by Google. Re-send the invitation if needed, ask them to sign in with the correct account in Google Maps or Search, and check the profile's status.

Quick answer: First check that the person accepted the invitation using the same Google account you invited.

Adding people to your profile should be simple, but small mix-ups cause many access problems (add manager or owner).

Roles and permissions

  • Primary owner: everything, including transferring ownership, managing users and removing the profile.
  • Owner: almost everything, including adding and removing managers.
  • Manager: edit business information, add photos, create posts, reply to reviews, view performance. Can't add or remove users or delete the profile.

If someone needs to manage users, they need the owner role. For day-to-day work, manager is enough and safer (which email to use).

Problem 1: invitation not received or not accepted

  • Check you entered the correct email (typos are common).
  • Ask them to check spam and the Promotions tab.
  • The invitation may also appear as a notification when they search the business while signed in.
  • Invitations can expire; remove and re-invite if needed.

Problem 2: signed in with the wrong account

Many people have several Gmails. If they accepted the invitation on one account but open Maps on another, they won't see the profile. In Google Maps, tap the profile picture and switch accounts (find which account owns your profile).

Problem 3: wrong role

If they need to add other users, change them to owner. If they only need to reply and post, manager is correct.

Problem 4: the profile isn't verified

Unverified profiles have limited editing for everyone. Complete verification first (verification in India, re-verification).

Problem 5: the profile is suspended or restricted

Suspended or disabled profiles can't be edited normally (disabled vs suspended, suspended — fix).

Problem 6: edits under review or locked fields

Some fields can't be edited while previous edits are pending, or are temporarily locked by Google (edits pending, can't edit, greyed out).

Problem 7: business groups and agencies

If the profile is in a Business Profile group (location group), access may be granted to the group rather than the individual profile. Check the group's users in Business Profile Manager (manage multiple profiles).

Problem 8: replying to reviews doesn't work

Managers can reply to reviews. If replies don't show, they may be processing or held for review (review reply not showing, reply from your phone).

Fix it step by step

  1. Owner opens Business Profile settings → People and access.
  2. Confirms the person's email and role.
  3. Removes and re-invites if the invitation is pending.
  4. The person accepts from the same account.
  5. The person signs in to Google Maps or Search with that account and searches the business.
  6. If editing still fails, check verification and suspension status.

Safe access practices

  • Give staff and agencies manager roles, not ownership.
  • Use their own accounts; never share the owner password.
  • Remove people when they leave (ex-employee controls profile).
  • Review the user list every few months.

Example: a salon manager's second Gmail

A salon owner invited her manager, but the manager accepted on her personal Gmail while using her work Gmail on Maps. Switching accounts in Maps fixed it in seconds.

Example: an agency blocked by verification

An agency added as manager couldn't update a clinic's hours. The profile had been asked to re-verify after an address change. Once the owner completed video verification, the agency could edit again.

Checklist

  • Correct email invited
  • Invitation accepted from the same account
  • Right role for the job
  • Profile verified and not suspended
  • No pending edits blocking changes
  • Remove users who leave

Key takeaways

  • Most access issues are wrong accounts or pending invitations.
  • Managers can edit, post and reply; owners manage users.
  • Verification or suspension blocks editing for everyone.

When staff leave

Remove their access on their last day. Check posts and replies they made recently, and change any shared passwords for related accounts (WhatsApp Business, Instagram, website). Quick removal prevents accidental or deliberate changes later (staff left and opened a competing business).
