Quick answer

Most Indian customers prefer UPI, so start with a business UPI QR code from your bank or a payments app — it's simple and widely accepted. Add payment links for WhatsApp and phone orders, a card machine (POS) if customers pay large amounts by card, and a payment gateway only if you sell or take bookings on your website. Compare fees, settlement time and support, keep every payment recorded in your billing system, and train staff to verify payments in the app — not from a customer's screenshot.

Quick answer: Most Indian customers prefer UPI, so start with a business UPI QR code from your bank or a payments app — it's simple and widely accepted. Add payment links for WhatsApp and phone orders, a card machine (POS) if customers pay large amounts by card, and a payment gateway only if you sell or take bookings on your website. Cash isn't going away, but customers increasingly expect to pay by scanning a QR code. Making digital payment easy removes friction at the counter, enables phone and WhatsApp orders, and gives you clean records for GST and loans.

UPI: the foundation

  • Get a merchant (business) UPI account, not just personal UPI, so payments show your business name and are easier to reconcile.
  • Display the QR code at the counter, on packaging, menus and delivery bags.
  • Sound box devices announce received payments aloud — useful at busy counters.
  • Settlement: merchant UPI usually settles into your bank account quickly; check your provider's terms.
  • Fees: UPI person-to-merchant payments have generally been low-cost for small merchants; check current charges for your account type.

When customers order on WhatsApp or by phone:

  1. Create a payment link with the amount and description.
  2. Send it in the chat with your order summary.
  3. The customer pays via UPI, card or net banking.
  4. You get a confirmation and the record is saved.

This works well for advance bookings — catering, salon packages, coaching fees, repair deposits. Combine with your WhatsApp catalogue.

Card machines

Worth it if many customers pay large amounts by credit card (electronics, jewellery, furniture, hospitals). Compare:

  • Rental/one-time cost and merchant discount rate (MDR) per transaction.
  • Settlement time.
  • Support for UPI, cards and wallets in one device.
  • Contract terms — cancellation and minimum usage.

Payment gateways for websites

If you sell online or take paid bookings, a payment gateway processes payments at checkout.

Look for:

  • Supported methods: UPI, cards, net banking, wallets, EMI.
  • Easy integration with your website builder or store platform.
  • Transparent fees per transaction.
  • Settlement time and dashboard reports.
  • Refund handling.
  • Good support and documentation.

You'll usually need KYC documents (PAN, bank account, business proof, sometimes GST). See GST registration and Udyam.

Never collect full card details through forms or WhatsApp — always use a proper gateway (HTTPS guide).

Recording payments

  • Record every digital payment in your billing software with the payment mode (billing software guide).
  • Reconcile daily: UPI app total vs billing report.
  • Download monthly statements for your accountant.
  • Digital payment history helps when applying for business loans.

Avoiding payment fraud

  • Never accept screenshots as proof — check the payment in your merchant app or sound box.
  • Beware "collect requests": you never need to enter your UPI PIN to receive money.
  • Fake payment apps can show fake success screens — always verify.
  • Overpayment scams: a "customer" pays extra and asks for a refund to another account. Refund only to the original payment method.
  • Protect your QR code: check that nobody has pasted a different QR over yours.
  • Keep phones and payment apps locked with PIN/biometric.

Refunds and disputes

  • Have a clear refund policy displayed at the counter and on your website.
  • Refund through the original payment method.
  • Respond quickly to chargebacks or disputes from your gateway with bills and delivery proof.

Show payment options on Google

Customers search "shop that accepts cards" or check before visiting. On your Google Business Profile, update payment attributes (where available for your category) — e.g., accepts debit cards, credit cards, NFC/mobile payments (attributes guide). Mention payment options on your website's contact page as a trust signal.

Example: a tailoring shop in Chennai

A tailor took advance payments in cash and often had disputes about amounts paid. After getting a merchant UPI QR with a sound box and sending payment links for advances on WhatsApp, every payment had a record linked to the customer's number. Disputes stopped, and the shop could see weekly income in the app.

Frequently asked questions

Is UPI free for merchants?

UPI payments to merchants have generally been low or zero cost for small businesses, but charges can apply for some methods (e.g., certain wallets or cards over UPI). Check with your provider.

Do I need GST to get a merchant UPI account?

Not always. Many providers onboard small merchants with PAN, Aadhaar and a bank account; requirements vary.

Payment links are enough for WhatsApp and phone orders. Use a gateway for website checkouts.

How fast do I receive money?

UPI merchant payments often settle quickly; card and gateway settlements may take one or more working days.

Can customers pay with credit cards via UPI?

Some credit cards (like RuPay credit cards) can be linked to UPI, and merchant charges may apply. Check your provider's terms.
