Quick answer: Processes live in one employee’s memory or in documents too long to use during work. This guide provides a repeatable process, explicit ownership, and evidence for deciding whether the work is complete.
Document the decisions that people otherwise guess
An SOP should help a capable person complete a recurring task safely without needing the original author. It should not describe every click unless the interface is genuinely difficult or the step is sensitive to version changes.
The one-page SOP format
Purpose: the problem the process prevents or solves. Trigger: when the process begins. Owner and backup: who is accountable. Inputs: approved sources and required information. Steps: the shortest reliable sequence. Decision rules: what to do when the situation differs. Completion evidence: how to prove the task is done. Escalation: who handles exceptions. Review date: when the procedure must be checked.
Example: update a business phone number
- Obtain the new number from the authorised owner.
- Confirm that the number is controlled by the business and reaches the intended team.
- List every channel that displays the number.
- Update each channel using its supported workflow.
- Check the live profile and test the call route.
- Record any pending status and assign a follow-up check.
- Search approved templates for the old number and retire stale copies.
Keep instructions maintainable
Use role names rather than employee names when possible. Link to official tool documentation instead of copying long sections that may become outdated. Include the date checked and the tool version or interface context when that matters. Never place passwords or recovery codes inside an SOP.
Version control
Use a clear version number, owner, last-reviewed date, and change summary. When a process changes, tell the people who use it and remove obsolete copies from common folders. A document is not controlled if staff cannot tell which version is current.
When an SOP is unnecessary
A rare, low-risk task may need only a short checklist or a link to official help. Do not create paperwork solely to look organised. Document tasks that recur, involve handoffs, carry customer or policy risk, or are hard to recover when the usual owner is absent.
SOP review checklist
- Purpose and trigger are clear
- Authorised source of facts is named
- Steps are short and testable
- Exceptions and escalation are covered
- Completion evidence is observable
- Owner and review date are recorded
- Credentials and unnecessary personal data are excluded
Next step
Ask someone other than the author to follow the SOP once. Their questions reveal missing assumptions more reliably than another self-review by the writer.
