Prices, hours and service descriptions are copied into many places and drift out of sync. This guide provides a repeatable process, explicit ownership, and evidence for deciding whether the work is complete.

Quick answer: Prices, hours and service descriptions are copied into many places and drift out of sync. This guide provides a repeatable process, explicit ownership, and evidence for deciding whether the work is complete.

Identify the facts that keep being copied

Start with facts that change or cause customer confusion: opening hours, holiday hours, service names, current prices, service areas, booking links, contact details, offer terms, and approved descriptions. Do not try to centralise every marketing file at once.

Assign a source owner to each field

A single source of truth is not merely one spreadsheet. Each field needs a person or system authorised to confirm it. Finance may own prices, operations may own hours, and the service lead may own what is included in a package. Marketing can publish the fact but should not invent it.

Build a field register

Fact Authoritative owner/source Last verified Used in Change trigger
Regular opening hours Store manager’s approved schedule [date] Profile, website, staff reply Shift schedule changes
Service price Approved price list [date] Website, post, printed menu Price revision
Booking URL Booking system owner [date] Profile, website, social Provider or route changes

Change-control procedure

  1. The fact owner submits a change with effective date and supporting details.
  2. The coordinator identifies every channel using the old value.
  3. Each update is assigned and tracked separately.
  4. A second person checks high-impact values such as price and hours.
  5. The coordinator verifies the live result and closes the change only when all required channels are checked.
  6. Old templates and scheduled content are searched for the obsolete value.

Why not automatically sync everything?

A platform may not support every field, channel, or integration. A spreadsheet can organise work without automatically changing Google, a website, and a booking tool. Confirm each product’s documented capabilities before promising synchronisation. For high-impact facts, a controlled manual update with verification may be safer than an untested integration.

Change request template

  • Fact being changed:
  • Current value:
  • New approved value:
  • Effective date:
  • Approving owner:
  • Channels affected:
  • Customer-facing risk if delayed:
  • Verification owner:

Maintenance rule

Review the register monthly and whenever a relevant change occurs. Remove duplicate unofficial copies where practical; where a copy must remain, label it as a snapshot and link back to the authoritative source.

Next step

Choose three facts that are often copied incorrectly and implement this process first. Expand only after the team can maintain the register reliably.
