A chain running store workshops, school open houses, clinic education sessions or community days needs a publishing model that preserves local truth. A central calendar can standardise branding, but it cannot safely invent a venue, time, capacity or registration link for every outlet. Each event needs its own accountable record.

Define what counts as an event

An event has a named activity, a specific date or date range, a physical location when the intended experience is in person, and a clear way for the public to understand participation. Ordinary opening hours, a permanent service, or a discount that ends on a date should not be relabelled as an event merely to seek search visibility. Google's event structured-data guidance requires a unique URL for each event page and accurate event details; the search feature is not a guarantee of display.

Use one event record per occurrence

Record the organiser, branch ID, public title, local start and end time, timezone, venue address, capacity, registration URL, accessibility notes, cancellation owner and status. If the same workshop occurs at six branches on different days, create six occurrence records and pages where appropriate rather than placing one generic event schema block on a page that lists all dates. A series can have a shared parent campaign, but each occurrence must describe the real session it represents.

A practical approval path

The branch proposes the session and confirms local capacity. The regional coordinator checks whether the activity is genuinely available to the public. The content editor checks the page for clear participation details. The web team validates the unique URL and structured data, if used. The branch confirms the registration link works on a mobile phone before promotion begins.

For a school open house, for example, a page should state which campus is hosting it, whether registration is required, the time window and whom to contact if the session fills. Do not publish a chain-wide registration link that silently defaults every visitor to the flagship campus.

Cancellation is a content state

If the event is cancelled, update the event page promptly and notify registrants through the channel used for registration. Remove it from upcoming-event lists. Where structured data is used, ensure it no longer represents the session as upcoming. Retain a concise record of the cancellation reason and who authorised it, especially where customers may arrive at the venue based on an old message.

Measure outcomes beyond registrations

Track registrations, attendance, cancellations, capacity utilisation and qualified follow-up separately. A free event with 200 registrations and 20 attendees is not automatically more successful than a small session that fills its capacity and generates relevant enquiries. Use the branch's objective—education, community participation, trial or admissions—to choose the outcome metric.
