Quick answer
A practical workflow for Indian small businesses to manage recurring marketing work with clear ownership, checks, and realistic limits.
Build the calendar around change risk
Not every field deserves daily attention. A profile’s opening hours, phone number, address, and enquiry route can create immediate customer friction when wrong. A photo refresh is usually less urgent. The calendar below is a starting point; adjust it to the business’s actual change rate.
The cadence
| Cadence | Check | Owner | Evidence |
|---|---|---|---|
| Every business day | New reviews and urgent customer-facing errors | Duty manager | Review queue checked |
| Weekly | Upcoming events, offer dates, content approvals, unresolved edits | Marketing coordinator | Task list updated |
| Monthly | Phone, website link, services, profile photos, review themes, reporting period | Owner or delegate | Dated audit record |
| Before public holidays | Special hours, delivery/service availability, staffing confirmation | Operations lead | Operations sign-off |
| After a business change | Address, phone, name, hours, service scope, access permissions | Owner | Change record |
These are recommended operating intervals, not Google requirements. Increase frequency when the business changes often or customers rely heavily on same-day information.
Monthly 25-minute review
Minutes 0–5: compare the public profile with the business’s current source of truth: website, phone system, menu/service list, and physical signage. Minutes 5–10: inspect pending or rejected edits and confirm whether Google’s displayed version matches the intended one. Minutes 10–15: review new photos and remove outdated assets where appropriate. Minutes 15–20: summarise review themes and unresolved complaints. Minutes 20–25: assign fixes with owners and deadlines.
Use a source-of-truth sheet
Keep approved values in one internal document: public business name, customer-facing address, main phone, website URL, regular hours, special-hours owner, service list, and last verified date. This does not replace checking the live profile; it makes discrepancies easier to spot.
Stop the calendar becoming busywork
A completed checklist is not proof that the profile is accurate. Record the actual value checked and any discrepancy. “Hours checked” is weaker than “Tuesday hours show 10:00–19:00 on the live profile; confirmed against store manager’s schedule.”
Completion checklist
- Every high-impact field has a named owner
- Holiday checks begin before the relevant date
- Discrepancies become tracked tasks
- Live status is verified after edits
- The next audit date is scheduled
Next step
Start with the monthly cadence, then add more frequent checks only where the business’s change history or customer risk justifies them.
