Quick answer
Google Forms is a free tool (with any Gmail account) that turns questions into a shareable link or QR code; answers land automatically in a Google Sheet. Small businesses use it for order forms, appointment requests, customer feedback, enquiry forms for the website, staff opening/closing checklists, stock entry, warranty registration, admissions and event registrations. Keep forms short, use dropdowns instead of typing, turn on email notifications for new responses, and link answers to a Sheet for tracking.

You don't need a website developer or a paid app to collect information online. Google Forms works on every phone, needs no installation for customers, and costs nothing. Here's how local businesses in India get real work done with it.
How Google Forms works in 60 seconds
- Go to forms.google.com with your business Gmail.
- Click Blank or pick a template.
- Add questions: short answer, paragraph, multiple choice, checkboxes, dropdown, date, time, file upload.
- Click Send to get a link, or create a QR code for it.
- Open Responses → Link to Sheets to get every answer in a spreadsheet.
12 practical uses
1. Order form for a home bakery or caterer
Questions: name, phone, item (dropdown), quantity, delivery date, address, message on cake, payment mode. Share the link in your WhatsApp status and Instagram bio.
2. Appointment request for a clinic or salon
Name, phone, service, preferred date, preferred time slot (morning/afternoon/evening). Confirm by WhatsApp. For instant booking, a scheduling tool is better — see booking links on Google.
3. Website enquiry form
Embed the form on your website's contact page (Send → embed icon < >). No coding or server needed.
4. Customer feedback
Three to five questions with ratings and one open question. Read our feedback survey guide for good questions — and remember feedback forms must never be used to decide who gets asked for a Google review.
5. Staff opening and closing checklist
Lights, AC, cash count, cleanliness, fridge temperature, photo upload of the counter. Staff submit it daily; the owner sees it in the sheet with a timestamp.
6. Stock entry from the godown
Item (dropdown), quantity, supplier, bill photo. Responses feed your Google Sheets inventory.
7. Warranty registration
Electronics, furniture and appliance shops: customer name, phone, product, serial number, purchase date, bill photo. You build a customer list and remind them about service.
8. Coaching admissions and demo-class sign-ups
Student name, class, school, parent phone, subjects, preferred batch. Use sections to show different questions for different courses.
9. Event and workshop registrations
Gym challenges, cooking classes, free health camps. Limit seats by closing the form when full (Responses → Accepting responses off).
10. Job applications
Name, phone, role, experience, expected salary, resume upload. Much tidier than a stack of WhatsApp messages.
11. Supplier or vendor onboarding
GSTIN, bank details, product list, contact person — in one place for your accountant.
12. Quick quizzes for customers or staff
Product knowledge tests for new staff, or a fun festival quiz for customers on social media.
Setup tips that make forms work better
- Keep it short: under 8 questions for customers. Every extra field loses people.
- Use dropdowns and multiple choice instead of typing — fewer mistakes, faster on phones.
- Mark only essential questions as Required.
- Add response validation for phone numbers (Number, length 10) to avoid typos.
- Add a header image with your logo and colours (Customize theme) so it looks official.
- Write a clear confirmation message: "Thank you! We'll WhatsApp you within 2 hours to confirm."
- Turn on notifications: Responses → ⋮ → Get email notifications for new responses.
- Use sections and logic: "Go to section based on answer" shows only relevant questions.
Sharing your form
- WhatsApp: paste the link in status, broadcasts and quick replies.
- QR code: print it on the counter, menu, packaging or poster. (Use a QR generator with the form link; our review QR generator is for review links, but the same idea applies.)
- Instagram and Facebook: add to bio or link sticker.
- Google Business Profile: for appointment-style businesses, an appointment link can point to a form, though dedicated booking tools give customers a better experience.
- Short link: use a URL shortener so it's easy to read out on calls.
Turning responses into action
In the linked Google Sheet:
- Add a Status column (New / Confirmed / Done) and colour it with conditional formatting.
- Filter by date to see today's orders or appointments.
- Use pivot tables to count orders by item or bookings by service.
- Share the sheet with staff (view or edit as needed).
Privacy and trust
- Only ask for information you truly need.
- Say why you're collecting it and how you'll contact them.
- Don't collect sensitive information like Aadhaar numbers or full card details in a form.
- Limit who can see the response sheet.
Example: a tiffin service in Bengaluru
A tiffin service replaced WhatsApp order chaos with a weekly menu form: name, office address, days required (checkboxes), veg/non-veg, and payment status. Orders landed in one sheet sorted by delivery area. Missed or wrong deliveries dropped sharply, and the owner used the sheet to see which dishes were most popular for next week's menu.

Frequently asked questions
Is Google Forms really free?
Yes, with a regular Gmail or Google Workspace account. Workspace adds extra controls for teams.
Can customers fill it without a Google account?
Yes, unless you enable file upload or "limit to 1 response", which require sign-in.
Can I accept payments in a form?
Not directly. Add your UPI ID or a payment link in the confirmation message, or ask for a payment screenshot upload.
How do I stop spam responses?
Share the link only where needed, close the form when not in use, and use response validation.
Can I make the form in Hindi or my regional language?
Yes — type questions in any language. Bilingual questions help when customers prefer different languages.
